We are a member based organization seeking to help guide and build a sustainable industry and support of our member businesses as independent car rental hosts, suppliers, vendors, associate partners, and service providers.

Overview
The Independent Car Rental Association or ICRA is the industry trade association for all who work in the independent car rental industry. This includes, but is not limited to independent car rental hosts, suppliers, and vendors who offer both products and services to the industry and our car rental host members.
Because we are a member-based organization and collect dues from our members that are used not only at a national level, but also at the local/chapter level, we need to collect some basic information from each joining member. It is our full intention to capture a minimum amount of data from each member, and keep it secure within our systems, so that they may be used for event registrations, dues payment processing and applying such dues to the appropriate member, but also to authenticate each member so that they have access into “member only” content areas to connect with and collaborate with other like members or chapter members for example.
Your data is in fact your data and is secure within our AMS system. No data is stored within this website, just as your credit card information, should you choose to pay by credit card is also never stored within the website or the AMS database. The ICRA does not have access to your credit card information, as it is stored (should you choose to store it) within the payment gateway. If you choose to sign up for recurring billing such as monthly dues, your credit card will be charged via the payment gateway each month for those dues’ payments.
When registering for an event that may have fees for example such as a national convention, you may use the ICRA system and payment gateway to make and subsequently apply such payments directly to your invoice, via the payment gateway. This is designed to make it simple and secure for members to make payments not only for dues, but also event registrations, etc.
Collection, use and disclosure of personal information
Member basic data, such as full name, company name, email address, Country, State/Province, Chapter of choice, and even your photo or logo if you choose to upload it, is stored within the AMS, not the website. You will have the ability to access your member profile at any time, and make changes to your data, and even change your privacy settings, should you not want to be recognized within the Member Directory for example. The Member Directory is only accessible by members. The public cannot see or have access to any of your data. You control who can see what data you may or may not want to expose, but only to members, never to the public.
Again, only basic data is “required” for member sign-up: member level you choose to subscribe to, email address, full name (First & Last), Country/Region – used for membership, along with your selected “Chapter of Choice”. The ICRA only collects very basic data that is used for communications (email), and basic information so that we know who our members are. We do not use your data or sell your data to anyone. It is your data, and will remain that way, unless you open your privacy settings and choose to add and then expose more of your data than the ICRA requires. But this would be your choice and fully controlled by you within your privacy settings, found within your member profile page (provided by the AMS, not the website).
Giving consent for others
Our very basic Privacy policies keep your data basic, and secure. We do not allow our systems to expose your data to anyone other than other members, but you may turn this completely off within the above-mentioned privacy settings you may access and control at any time, directly by logging into the ICRA website, which is actually logging into the AMS system that manages your data and privacy settings.
By default, we allow other members to see your basic information, in order to encourage collaboration, etc. In the Member Directory, only members can see who other members are, and can communicate with them directly through the system, but again, each member has full control of all of this, by limiting those capabilities within the privacy settings after member login.
Third-party applications
The only systems that have any access to your personal data held within the Member Profile pages of the AMS system, is the AMS system. If you choose to “store your credit card on file” for future purposes, you are storing that data within the payment gateway. The payment gateway, in our case is AffiniPay. AffiniPay processes millions of credit card transactions every day. This is what they do, and they hold all liability for your credit card information, not the ICRA, since the ICRA never has any access to your credit card information.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
